Electric Love Music Festival

FOOD VENDOR RULES & REGULATIONS

Electric Love Music Festival (ELF) boasts an extensive schedule of entertainment and activities, in addition to this agenda, ELF will feature a diverse marketplace with a variety of goods and services for our patrons. We are committed to selecting quality food, craft and merchandise vendors. To ensure that the highest standards are maintained and that the event is successful for all vendors, there is no unauthorized vending allowed anywhere on site other than in the approved marketplace. For health and quality reasons, unauthorized food vendors may pose a risk to festival goers, unauthorized food vendors who are not permitted will be shut down to alleviate that risk. Electric Love is committed to ensuring a successful event for all authorized vendors.

Once final selections for vendors have been made, you will receive an information package that will include a site map as well as other important information such as facilities and vending camping areas. An important questionnaire will also be included regarding any special requests, sizing or requirements for your stall. 

FOOD AND BEVERAGE VENDORS

At Electric Love, we offer a diverse array of interesting food items at reasonable prices. 

We ask that all food vendors keep this in mind and keep prices to a maximum of $25 for any single food or drink item, as well as include some lower-priced items. Additionally, many of our patrons request vegetarian options; we ask that all food vendors be varied and creative in their menu offerings. 

Vendors will be asked to provide a menu in advance to ensure no overlapping products are sold in the marketplace. This will ensure that the market remains competitive for everyone. With all food items, any specialty beverages must be pre-approved by ELF. 

Food and beverage will be limited to being sold in food and beverage carts or trucks. No food or merchandise vendors will be able to sell anything not pre-approved by ELF.

Food vendors will have appointed spots along high traffic areas.  Although individual open hours are required as listed below, many vendors choose to remain open 24 hours. There will be an on-site vendor coordinator who will be alternating any shutdowns necessary for prep and restocking needs. 

VENDOR CONTRIBUTION TO FESTIVAL SUSTAINABILITY

ELF has a very strict Leave No Trace Policy, the practice of leaving the land in the condition it was found. We are very committed to reducing the amount of trash that is sent to the landfill and have an extensive recycling and composting program. All vendors will be required to purchase compostable or recyclable paper products, plates, bags, cutlery, and cups. 

If you sell prepackaged drinks, please do not hand out a straw. If you are a smoothie or lemonade vendor, we ask that you use compostable, biodegradable or paper straws. Please get in touch with our Vending Coordinator for additional information if required. 

We ask that all merchants supply paper, recyclable, or compostable bags only or not to offer bags. If you are selling something packaged in plastic, remind patrons of our on-site recycling facilities. We are currently looking at a no-cost solution to vendors for reusable bags for a nominal fee to festival goers. 

We will work with our waste provider to provide waste water pick up for those vendors that would like to participate. There could be a small charge for this service through the provider. All vendors are responsible for properly disposing of waste, grey water, and used oil off site in a designated area once the festival is over. 

Please make sure to orientate yourself with all recycling locations, waste cans, green waste and cigarette disposal to help keep the site clean. Please note that vendors are required to pack their own waste in and out. 

INSURANCE & LICENSING 

All vendors must supply proof of insurance coverage including: Certificate of liability insurance, Proof of Workers Compensation Coverage, Proof of insurance coverage for all vehicles entering the festival site — required limits and additional insured entities provided upon acceptance.

All vendors are responsible for paying any applicable provincial and federal sales tax. 

All accepted vendors must have the applicable certificates that include FoodSafe or Safe Handling certificates, Operating License and Health Operating Permit

FESTIVAL DATES - ON-SITE AND OFF-SITE HOURS

ELF officially opens and starts at 2 PM August 8th, 2024. All vendors are asked to be on-site and to start setting up by 11 AM on August 7th, 2024. 

The music officially ends at 6am on Monday, August 12th, 2024. Vendors will be required to stay on site until 10am - Monday, August 12th, 2024. Food merchants can come earlier and stay later to sell with prior approval from ELF for our production staff that will be on site. For vendors that choose to come early and stay late, please note that there will be reduced volumes during those extended hours as attendance will be limited to staff, volunteers & performers only. 

Food & merchandise vendors are required to stay open from 10AM to 2AM for each festival day. Please note that vendors can remain open 24 hours with approval from ELF. 

Sales report needs to be submitted by no later than 3AM after the conclusions of each day/night to the Vending Coordinator. Final sales report with final cash settlement payable to ELF will be due on Monday, August 12th by 2PM. 

VENDING CATEGORIES, FEES AND GENERAL OVERVIEW

FOOD TRUCK AND CARTS

  • $600 includes power drop fee and deposit. No on-site generators allowed. 

  • $300 power drop fee. No on-site generators allowed.

  • 20% of total sales + GST due Monday, August 11th, 2024 by no later than 2PM to the Vending Coordinator. 

  • $300 of deposit will be applied to the 20% of total sales and will be deducted onsite. 

  • Three (3) staff and one (1) management will be given access to the festival grounds. With two (2) parking passes. Additional staffing requirements will need to be approved by ELF 

  • All food vendors will be required to remain open 10AM through to 2AM. Food vendors can choose to stay open 24 hours but will be expected to maintain quality and serving time of foods served or will be shut down till opening the next day. Please inquire with the Vending Coordinator for approval. You will be subjected to a fine for not complying with rules and regulations.

  • Two vendors will be asked to open early for breakfast. Please indicate in your questionnaire if you are interested in providing this service or email our Vending Coordinator Dale Ganzeveld dale@electriclove.dance

Upon approval from the Vending Coordinator of your participation with Electric Love Music Festival, a deposit will be required to secure your spot. Please note that this deposit is due within 15 days of notification approval. If you have special circumstances please email dale@electriclove.dance


VEHICLES

Vehicles are not permitted in any of the vending areas or near your booth or food truck. There will be designated staff and vendor parking areas available. We will open up times for vehicles to be allowed to restock between the hours of 7:00-11:00am daily.

VENDOR CAMPING
